How to Create Official Email ID With Your Domain

Last Updated on: October 17, 2026

How to create official email id is straightforward when you use an address such as hello@yourbusiness.in instead of a free address ending in @gmail.com. You need a domain, an email service, and a few minutes in your hosting panel; this guide shows the complete setup for a HostKarle DirectAdmin account.

What an official email ID is

An official email ID uses your organisation’s domain after the @, for example sales@keralacakes.in, admissions@brighttuition.in or samrat@youragency.com. The domain is the part you control; the mailbox is the place where messages are stored and sent.

This looks more consistent on a website, quotation, invoice or business card. It also lets you create separate addresses for different jobs, such as support@, accounts@ and careers@, without sharing one personal inbox.

Buying a domain alone does not create a mailbox. You must either use email included with web hosting or subscribe to a separate business-email service.

Three ways to get a professional email address

The best option depends on whether you need only email or a complete office suite with shared documents, calendars and video meetings.

RouteWhat you payBest for
HostKarle Basic with included email₹99/mo; ₹1,188 billed yearly; ₹149 monthly; ₹49/mo on 3 years (₹1,764 every 3 years). Renews at the same price. Includes 10 mailboxes. One website, a shop, portfolio, tuition centre or small team
HostKarle Professional with included email₹149/mo; ₹1,788 billed yearly; ₹249 monthly; ₹99/mo on 3 years (₹3,564 every 3 years). Renews at the same price. Includes 20 mailboxes.A growing business, freelancer or team with several addresses
HostKarle Unlimited with included email₹299/mo; ₹3,588 billed yearly; ₹499 monthly; ₹199/mo on 3 years (₹7,164 every 3 years). Renews at the same price. Includes unlimited mailboxes.Agencies, colleges and teams that need many addresses
Separate business-email suiteA per-user subscription. Work out the yearly cost as the current monthly price × 12 × number of users.Teams that need integrated documents, calendars, storage or advanced administration

The HostKarle figures above are hosting prices and include the listed mailboxes; a domain is separate unless you add one in the same order. Current domain examples are .co.in at ₹709/yr, .in at ₹889/yr and .com at ₹1,259/yr. Read the renewal price before choosing an extension. The domain price page shows the current list.

For many Indian shops, freelancers and small offices, included hosting email is the simpler cost because you do not pay for every mailbox separately. A paid suite can still be the better fit when the team depends on shared calendars, large cloud storage, collaborative documents or central administration.

What you need before starting

Keep these items ready:

  1. A domain you own, such as yourbusiness.in. You can register one through the HostKarle domain search, or use a domain bought elsewhere.
  2. A HostKarle hosting plan with email included. The small-business hosting plans include webmail, IMAP and POP3 access.
  3. The name you want before the @. Use a role such as hello, info, sales or support, or use a person’s name for an individual mailbox.
  4. A strong, unique mailbox password. Do not reuse your WordPress, UPI or personal-email password.
  5. A phone or computer for testing both incoming and outgoing messages.

If your domain and hosting are with different companies, keep access to the domain registrar too. You may need to update nameservers or DNS records before mail can work.

Step 1: Register or connect your domain

The domain tells other mail servers where your official address belongs. It must be active and connected to the hosting account before you create the mailbox.

If you are registering a new domain with HostKarle:

  1. Open the HostKarle domains page.
  2. Search a short business name and select an available extension. Choose a name that is easy to say and spell; avoid a domain that people may confuse with another business. The guide to buying a cheap domain explains the main extension choices.
  3. Add the domain to your cart, add a hosting plan, and complete payment in rupees by UPI, card or another available method.
  4. Confirm that the domain is visible in your client area and that the hosting account is active.

If you already own the domain elsewhere, you can keep it at that registrar. In its nameserver settings, replace the existing nameservers with:

ns1.fastnsdns.com
ns2.fastnsdns.com

Save the change, then allow DNS time to update. If you need help finding the correct values, see how to find and update HostKarle nameservers. If you manage DNS records at the registrar instead of changing nameservers, ask the hosting provider for the exact mail records and add them there. Do not guess MX, SPF or DKIM values.

Success looks like: the domain opens in the hosting account, the domain resolves to the hosting service, and DirectAdmin shows it as an available domain for email.

Step 2: Create the mailbox in DirectAdmin

DirectAdmin is where you create the actual mailbox. The mailbox name and its password are separate from your main hosting-panel login.

  1. Sign in to the DirectAdmin panel from your HostKarle client area.
  2. At User Level, open E-mail Accounts. Depending on the skin, the menu may be labelled E-mail Manager or Email Accounts.
  3. Select Create Account or Create E-mail Account.
  4. Choose the connected domain and enter the username. For example, enter hello to create hello@yourbusiness.in.
  5. Create a strong password and save it in a password manager. If the form offers a quota, leave the normal plan limit or set a sensible mailbox limit.
  6. Save the form and return to the account list.

Use the full address, not only hello, when a device asks for the username. DirectAdmin’s documentation places virtual mailboxes under User Level → E-Mail Accounts, and its webmail guidance describes logging in from the account list.

Success looks like: the new full address appears in the account list, you can use the row’s Login link to open webmail, and a test message sent to the address arrives in its inbox.

If you need multiple addresses, repeat the same process. Create support@ and accounts@ as separate mailboxes when different people need separate passwords. Use a forwarder only when several addresses should deliver to one existing mailbox.

Step 3: Open the mailbox on your phone or laptop

Webmail is the quickest way to start. In DirectAdmin, open the login link beside the mailbox in E-Mail Accounts. This opens the provider’s webmail interface without installing an app.

For a phone app or desktop client, choose Add account, select Other or IMAP, and enter your full address. Use the mail hostname shown by your hosting provider. It is often mail.yourdomain.in, but DirectAdmin’s own client guide notes that some servers use a separate server hostname for secure connections.

Use these secure settings when your provider gives you the matching hostname:

SettingValue
UsernameYour complete address, such as hello@yourbusiness.in
PasswordThe mailbox password created in DirectAdmin
Incoming protocolIMAP
Incoming port993 with SSL/TLS
Outgoing protocolSMTP
Outgoing port587 with STARTTLS/TLS
SMTP authenticationOn; use the same full address and password

On iPhone, open Mail account settings and confirm SSL is enabled for incoming mail and SMTP authentication is set to password. On Android, Gmail or another mail app, choose Other, enter the IMAP details manually if automatic detection selects the wrong server. On a laptop, Thunderbird and similar clients use the same IMAP and SMTP values.

Success looks like: the inbox loads on the device, a message sent from the mailbox reaches a separate personal address, and a reply arrives back in the official inbox. Check both webmail and the app so you know which copy is stored on the server.

Step 4: Verify sending and receiving

Testing catches a wrong password, DNS delay or incorrect outgoing setting before you print the address on a business card.

  1. From a separate address, send a short message to the new official address.
  2. Reply from the official address to the separate address.
  3. Open the received message and check the sender name, reply-to address and signature.
  4. Send one message from webmail and one from your phone or laptop.
  5. Confirm that sent messages appear in the Sent folder and that replies return to the correct mailbox.

If mail works in webmail but not in the app, check the hostname, port, encryption and full username first. If neither direction works, check whether the domain’s nameservers or MX records have finished updating and ask the provider for the current mail-server values.

Making sure your official email does not land in spam

A custom address alone does not guarantee inbox placement. Email authentication tells receiving services which servers may send for your domain and helps them detect spoofed messages.

In DirectAdmin, check the domain’s email settings for DKIM. The DirectAdmin email documentation recommends SPF, DKIM and DMARC for a complete email setup. If your DNS is managed outside the hosting account, copy the DKIM TXT value shown by the panel into that DNS provider rather than assuming it was published automatically.

Use one SPF TXT record for the domain and include every service that sends mail for it. Do not paste a Google-specific SPF value when your mailbox sends through HostKarle. If you later add a newsletter service, update the existing SPF record according to that service’s instructions instead of creating a second SPF record.

DMARC is a policy for messages that fail SPF or DKIM. For a new domain, a monitoring policy such as p=none can help you observe reports before you tighten enforcement; use a monitored reporting address and follow the provider’s instructions. Google’s email sender guidelines also recommend authentication, TLS, valid DNS and permission-based sending.

Keep the mailbox for normal one-to-one business communication. Do not send unsolicited bulk mail from it, buy lists or suddenly send a large campaign. Use a proper mailing platform for subscriptions, include an unsubscribe option where required, and keep your display name and signature clear.

For a practical checklist when Gmail users see spam placement, read how to fix emails going to the Gmail spam folder. You can also use the DirectAdmin user-level mail settings guide when configuring phone and desktop clients.

Common mistakes to avoid

  • Buying only the domain: a domain is an address, not a mailbox. Add hosting email or a separate mail provider.
  • Using the panel password as the mailbox password: create and use the password shown for the individual mailbox.
  • Entering only the username: most mail apps need hello@yourbusiness.in as both the incoming and outgoing username.
  • Using the wrong hostname: use the secure hostname supplied by the provider, not an invented server name.
  • Adding multiple SPF records: combine authorised senders into one SPF record.
  • Changing MX records casually: MX records decide where incoming mail is delivered. Change them only when moving the mailbox to another provider.
  • Skipping a second-address test: always send to and reply from an unrelated address before publishing the new email ID.

FAQ

Can I create an official email ID without a website?

Yes. You need a domain and an email service, but you do not need to publish a website first. Hosting with included email is useful when you also plan to build a site, while a separate business-email service can be used for email alone.

Can I use my official email address in Gmail?

Yes. Use the Gmail mobile app’s Other account option or configure the account manually with IMAP and SMTP. Use the full official address, the secure hostname supplied by your provider, IMAP 993 with SSL/TLS and SMTP 587 with TLS.

What should my official email address be called?

Use a role address such as hello@, info@, support@ or sales@ when several people may handle the inbox. Use firstname@ or firstname.lastname@ for a personal work mailbox. Choose one naming style and use it consistently.

Is email included with HostKarle hosting?

Yes. Basic includes 10 business email accounts, Professional includes 20, and Unlimited includes unlimited email accounts. The Professional plan costs ₹149/mo with ₹1,788 billed yearly; its price note also lists ₹249 monthly or ₹99/mo on 3 years (₹3,564 every 3 years), and it renews at the same price.

Why are my official emails going to spam?

Common causes include missing SPF or DKIM, a new domain with no sending history, incorrect DNS, poor message content or sending to people who did not request mail. Confirm the mailbox’s DNS authentication, send a normal one-to-one test, and follow the Gmail sender guidelines if you send to Gmail accounts.
